Stocktakes

On the Stocktakes screen you can get information about your Stocktakes. You can also filter the results based on different criteria. The screen is divided into three main sections: Header (1), Filter (2) and Result (3).

Within the Header (1) you can find a button with drop down menu that allows you to make a Reprice, Stocktake or Stocktake in client premises.

There’s also a blue magnifier button that’s used to show and hide the Filter section.

When the Filter (2) section is shown, on the left side you will find three buttons – Stocktakes, Lines of stocktakes, Items.They change the way you see the results below in the Result (3) section.

  • If Stocktakes is selected, your result section shows a row for each stocktake
  • If Lines of stocktakes is selected, your result section shows a row for each particular item that is part of the Stocktake. If three different items are in the same stocktake order, you will see three different rows in the result section for that same order
  • If Items is selected, your result section shows a row for each item in a stocktake order and shows the aggregated quantity of the stocktake items.

The rest of the buttons within the Filter section allow you to filter based on something specific like Date Range, Status, To Warehouse. Most of them are drop down menus where you can select your filters. The different options are described in the table below.

Option Meaning
Date range (From, To) Allows you to filter your results based on the time of the stocktake
Status Allows you to choose the status of the stocktake – Regular or Cancelled
Warehouse Allows you to filter the results by a particular warehouse that is already in your system
Stocktake type Allows you to choose the type of stocktake – Stocktake, Reprice or Stocktake in client premises

After choosing the filters you want, you can use the grey magnifier button – , to apply your filters and get your results. Based on your Filter (2) selections, the Result (3) section will be visualized differently.

When the Result filter is set to Stocktakes, the Result (3) section will show you the Stocktakes that happened based on your filter criteria. By default, the system will only show you the most used columns:

Column Meaning
Type Shows the type of the stocktake – Stocktake, Reprice or Stocktake in client premises
Document Number Shows the number of the Stocktake document
Date Shows the date on which the Stocktake was made
To Warehouse Shows the warehouse from which the Stocktake was made
Description Shows the description of the stock request (if any)
Comment Shows additional comments (if any)
Inventory shrinkage Shows the missing items from the inventory (if any)
Surpluses Shows the surplus of items (if any)

When the Result filter is set to Lines of Stocktakes the Result (3) section will show you the lines of Stocktakes that happened based on your filter criteria, one item for stocktake on each row. By default, the system will only show you the most used columns:

Document Number Shows the document number for each particular stocktake
Date Allows you to see the date on which the stocktake was made
To Shows for where the stocktake was made for
ID Shows the ID of every particular item in the stocktake
Name Shows the name of the item in the stocktake
Brand Shows the brand of the item in the stocktake
UM Shows the unit of measurement selected for each particular item
Inventory Shrinkage Shows the missing items from the inventory (if any)
Surpluses Shows the surplus of items (if any)


Plus a few extra buttons:

When the Result filter is set to Items, the Result (3) section will show you a row for each item with aggregated information about its stocktakes. The system will show you these columns:

Column Meaning
ID ID of the item
Name Name of the item
Brand Brand of the item
UM The unit of measurement of the item
Inventory Shrinkage Shows the missing items from the inventory (if any)
Surpluses Shows the surplus of items (if any)

You also have an additional button Record Item, that shows you information about every particular stocktake.

With this view there are no additional columns that can be shown/hidden with check boxes.
