Procurement and removal costs

Interface for the operational activity of allocating additional costs for deliveries and removals, consisting of a list of financial cost documents entered with category/categories marked as ‘Delivery Cost’. Through the indirect cost allocation functionality, you accumulate additional cost to items.

Important! Allocation of indirect costs in the system for Purchase Orders, Moves or Work Orders occurs by quantity. That is, the more quantity there is of an item in the document, the more indirect cost will accrue.

For example, if in one document there is 1 piece of item A and 2 pieces of item B, and the additional cost is 120 BGN, item A will “take” 40 BGN and item B – 80 BGN.

However, the allocation of indirect costs attributed to a Supplier Order occurs by PRICE, not quantity. That is, the higher the price of the item in the sale, the more indirect cost will accrue.

You can filter the results based on different criteria. The screen is divided into three main parts: Header (1), Filter (2) and Score (3):

In the Header (1) you see the interface name and a blue button that hides and shows the Filter (2).

Filter (2)

To process your financial documents faster and keep track of whether they have already been allocated and to which document, the system provides you with different ways to filter the information. The search is started with the Magnifying Glass, and the Hicks clears all filters. In the table below you will see all the filters and their explanations:

– Invoice expense, includes Debit Expense Note, Credit Expense Note and Invoice Expense Note
– Pro forma expense
– Expense Receipt, includes Debit Expense Receipt, Credit Expense Receipt, and Expense Receipt.
– Tax document, includes Customs declaration.
Payment methodFilter by the payment method that created the financial document.Choose by bank, cash, POS, etc. depending on the payment methods entered in the system.
Type of tax transactionFilter by the type of tax transaction set in the financial document.Select Sales, Sales without VAT, Sales in EU, Sales outside EU , etc. depending on the tax transactions entered in the system.
CurrencyFilter by currency of the financial document.
StatusFilter by Financial Document Status, which can be Allocated/Unallocated.
Distributed byThe financial document is attached indirectly.
UnallocatedThe financial document is not yet attached indirectly.

Important:

In order for the financial documents entered by an office to be displayed to you, you must have rights to view the office!

The interface only displays financial documents created with an expense category that is marked for allocation “supply expense”!

Result (3)

You will see the found documents/series of documents according to the specified criteria from the Filter (2) in the Result (3). The table changes the information according to the Result type, so they will be described separately.

In addition to the columns containing basic information about the financial documents, you can also include and exclude additional columns of detailed data by checking off additional columns. All main and additional columns are described according to Result type.

Result by Documents (3.1)

In the table you will see a list of financial documents containing the following columns:

DistributionShows the number of the cost allocation document, if any. The number is also a link, so clicking on them opens your expense allocation file.
Opens interface for indirect distribution of financial documents
Disconnects the distribution, removes the indirect link between the financial document and the document.
Opens a file on a financial document.

You can additionally include:

Result by Lines of documents (3.2)

A list of document rows will appear in your table. If a financial document has 3 lines with 3 lines with different categories for allocation by supplies, then here they will be on three different lines. The row-by-row table contains the following columns:

A brief step-by-step description of the procedure for allocating costs to supplies:

  1. You log into Procurement Expenses, where you filter the information and find the financial document/financial document line you want to allocate indirectly.
  2. Click on the desired financial document/line of a financial document.
  3. You use the filters and find the supplies/supply lines you want to allocate the additional cost to in the Cost Allocation pop-up.
  4. Mark each supply/line of supplies to which you want to allocate an additional cost.
  5. You click the Confirm button, which allocates the additional cost.
  6. This generates an Allocation of Additional Costs document, which is visible in the Related Operations tab of the document file.
  7. All indirect costs already allocated, as well as financial documents that have not yet been allocated, can be found in Procurement costs
  8. You can unlink an already allocated expense by clicking on the row of the desired document and then repeat steps 1 to 5 again if necessary.
